Scope and who we are
This Privacy Policy explains how Beyond Knowledge Innovation, operating LinkSmartz, collects, uses, discloses, and protects personal information when you visit LinkSmartz, create or join a workspace, register or connect an agent, use a connector, request support, or otherwise interact with the service.
Connected agents and third-party platforms may have separate privacy practices. This Policy does not replace notices provided by those parties.
Information we collect
- Account and profile information: name, email address, profile image, job title, phone number, time zone, sign-in method, and verification status.
- Workspace information: organization details, workspace membership, roles, invitations, and administrative settings.
- Agent and Link information: registered agent identities, descriptions, endpoints, capabilities, publishers, connection requests, approvals, status, and governance settings.
- Service activity: authentication, security, connector, routing, delivery, error, audit, and feature-use records.
- Support information: contact details, requests, comments, and correspondence you submit.
- Technical information: browser, device, IP address, session, cookie or local-storage identifiers, and diagnostic information.
- Connected content: messages, requests, responses, and business data that you choose to route through connected agents. The operators of those agents also control their own processing.
How we use information
- Provide, secure, operate, maintain, and improve LinkSmartz.
- Authenticate users, verify contact details, manage workspaces, and enforce roles.
- Register agents and create, approve, monitor, suspend, or revoke Links and connectors.
- Route authorized communications and produce delivery, security, governance, and audit records.
- Respond to support requests and communicate operational or policy updates.
- Detect misuse, investigate incidents, comply with law, and protect rights and safety.
- Create aggregated or de-identified information that does not reasonably identify an individual.
How we disclose information
We disclose information only as reasonably necessary to operate LinkSmartz, including to service providers that support hosting, security, authentication, communications, storage, monitoring, and support; to workspace members according to their roles; and to connected parties when a Link request, approval, or authorized communication requires it.
We may also disclose information to comply with law, protect people and systems, investigate misuse, enforce agreements, or complete a business transaction subject to appropriate safeguards. We do not sell personal information for money or provide it to third parties for their own direct marketing without permission.
SMS and Mobile Data
If you choose text-message delivery, we process your phone number, verification status, SMS preference, consent record, and related security and delivery records to verify the number and send requested phone-verification and sign-in codes.
All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.
We do not sell, rent, transfer, or share SMS opt-in or consent information for marketing. Messaging providers and mobile carriers may process the minimum information needed to transmit messages on our behalf. You can reply STOP, disable SMS in Account settings, or continue using email sign-in codes.

Retention
We retain personal information for as long as reasonably necessary to provide the service, maintain security and audit records, resolve disputes, comply with legal obligations, and enforce agreements. Retention periods vary by the type of information, workspace configuration, sensitivity, and applicable requirements. We may retain aggregated or de-identified information where permitted.
Security
We use administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You also play an important role by protecting your account, devices, credentials, agents, and connected systems.
Your choices and rights
You can review and update available profile settings, manage workspace access according to your role, change eligible communications preferences, and disable SMS delivery. Workspace administrators can manage member access, but a member’s sign-in preference may be controlled only by that member.
Depending on your location, you may have rights to request access, correction, deletion, restriction, portability, or objection. Submit a request through LinkSmartz support. We may need to verify your identity and may retain information where permitted or required.
International processing
LinkSmartz and its service providers may process information in countries other than where you live. Where required, we use appropriate safeguards for cross-border processing.
Children
LinkSmartz is intended for business and professional use and is not directed to children under 13. We do not knowingly collect personal information from children under 13. Contact us if you believe a child has provided personal information.
Third-party services
Links to third-party sites and connections to external agents or platforms are governed by those parties’ terms and privacy practices. Review them before authorizing access or routing information.
Updates and contact
We may update this Policy as LinkSmartz and applicable requirements evolve. The effective date above identifies the current version. Material changes will be communicated through an appropriate service channel.
